Job Description Summary

DEFINITION
Under direction of the assigned administrator, the Clinical Coordinator facilitates clinical placements for all programs within the Division of Nursing and Allied Health. This role ensures that students enrolled in highly regulated and certified programs meet all requirements for participation in clinical experiences. Additionally, the Clinical Coordinator serves as the primary liaison between the division, clinical sites, and faculty, overseeing the coordination and compliance of clinical site placement and requirements.

DISTINGUISHING CHARACTERISTICS

This position requires a comprehensive understanding of clinical environments to manage student placements in collaboration with faculty. It also requires knowledge of clinical site onboarding requirements, strong organizational skills for tracking compliance, detail-oriented and effective communication skills to support students, faculty, and clinical agencies.

Essential Functions & Qualifications

ESSENTIAL FUNCTIONS
  • Maintain clinical site utilization grid for all programs on both the San Luis Obispo and North County campuses;
  • Create and oversee student rosters for clinical placements;
  • Communicate with clinical sites to ensure compliance for student placements;
  • Assist students and faculty with completion and compliance of all requirements for clinical placements;
    • Facility-specific on-boarding processes;
    • Physical exams, vaccinations and TB screenings;
    • CPR certifications;
    • Background checks and drug screenings;
    • Photo identification badge(s);
  • Develop and maintain provider list to facilitate access for required physicals, vaccinations, and CPR training;
  • Verify and report student clearance status to the assigned administrator;
  • Coordinate and track student recertification to ensure the currency and compliance of CPR training requirements;
  • Ensure timely communication of students' clinical placement clearance status to the designated faculty and program director;
  • Coordinate and provide clinical agencies with required student and faculty information for electronic medical record access, including start and stop dates;
  • Serve as primary contact for clinical sites;
  • Guide students through activation procedures for clinical site access;
  • Conduct student orientations to communicate requirements for clinical placement;
  • Develop and maintain forms and instructional materials related to clinical requirements;
  • Under the direction of the assigned administrator, assist with maintaining, tracking, preparing, and reviewing agreements/contracts with clinical affiliates;
  • Assist with reporting and documentation required to maintain compliance with affiliate agreements;
  • Maintain and update list of approved/contracted clinical sites;
  • Assist with the general clerical duties of the Nursing and Allied Health Division, including preparing confidential correspondence, reports, flyers, program handbooks, and orientation materials;
  • Coordinate with the grant tracking team to oversee student placements and ensure compliance with grant documentation requirements; and
  • Perform other related duties as required.


QUALIFICATIONS

Education:

Required
  • Associate's Degree from an accredited institution; OR
  • Any combination of education, experience, and training which would indicate possession of the required knowledge, skills, and abilities listed herein. For example, graduation from high school and four years of clerical or secretarial experience involving frequent public contact including work with health or nursing programs in a college or similar environment.


Knowledge:
  • Familiarity with HIPAA regulations and willingness to obtain HIPAA/FERPA knowledge and training;
  • Proficiency in drafting correspondence and reports;
  • Proficiency in office technologies, including word processing, spreadsheet, presentation, and/or database software; and
  • Strong command of English, grammar, spelling, punctuation, and vocabulary.

  • Work independently and maintain confidentiality;
  • Detail-oriented and organized for tracking clinical placement and onboarding needs for each facility;
  • Establish and maintain cooperative working relationships with those contacted in the performance of duties; and
  • Demonstrate a sensitivity to and understanding of the diverse academic, socioeconomic, cultural, disability, gender identity, sexual orientation, and ethnic backgrounds of community college students.


Physical Abilities:
  • Sufficient physical ability and mobility to work in an office setting;
  • Stand or sit for prolonged periods of time;
  • Occasionally stoop, bend, kneel, crouch, reach and twist;
  • Lift, carry, push, and/or pull light to moderate amounts of weight up to 20 pounds;
  • Operate office equipment requiring repetitive hand movements and fine coordination including the use of a computer keyboard;
  • Verbally communicate to exchange information;
  • See in the normal visual range with or without correction;
  • See sufficiently to read computer screens and printed documents, and to operate assigned equipment; and
  • Hear in the normal audio range with or without correction.

SALARY SCHEDULE: Below is the full salary schedule range for this position, steps A through E. Per Cuesta College's policies, new employees are placed at Steps A through C, which is the anticipated hiring range also listed below.   • Salary Schedule Range: $5,716 - $6,948 per month.
  • Anticipated Hiring Range: $5,716 - $6,302 per month.
